Role: Exectutive Assistant
Hello, my name is Ilya Merenzon. I am CEO of World Chess Plc and I am looking for a personal assistant to support me here in Berlin.
This role goes beyond traditional office management, focusing on the comprehensive coordination of both personal and professional tasks to enhance the efficiency and effectiveness of our CEO's daily operations. The role assumes both remote and in-office work, offering flexibility and variety in your daily tasks.
Key Responsibilities:
Personal Assistance: Provide lifestyle support, including managing personal appointments, conducting research, and handling various personal tasks. A good example of this is managing and making appointments related to visa in Germany.
Executive Support: Assist the CEO with business tasks such as preparing and organizing documents, managing electronic files, and handling correspondence and calls.
Travel Coordination: Arrange complex travel logistics for the CEO and top management, including flights, hotels, transportation, visas, and permits.
CRM Management: Maintain and develop the CRM system, ensuring all information is up-to-date and accurate. You will be in touch with high-profile investors and clients in your capacity and will support the company’s development track.
Business Meetings: Help organize and support business meetings, including scheduling, preparing agendas, and taking minutes.
Team Support: Facilitate travel support and process for expatriate team members, including handling documentation and housing arrangements.
Event Coordination: Plan and coordinate small events and visits, managing agendas, logistics, and food and beverage arrangements.
Administrative Tasks: Ensure the smooth operation of the office, manage incoming and outgoing correspondence, schedule meetings, and perform other administrative duties as needed as well as collaborating with teams in Germany, UK, former CIS.
Qualifications and Skills:
Experience: Minimum of 2 years in a similar role, preferably supporting C-level executives.
Organizational Skills: Exceptional ability to structure, prioritize, and manage multiple tasks efficiently.
Attention to Detail: High level of accuracy and meticulous attention to detail in all tasks.
Communication: Advanced proficiency in English, German, and ideally Russian, with strong verbal and written communication skills. Some of the team communications is conducted in Russian, that’s why Russian would be a plus, but some of the team members who don’t speak Russian feel comfortable as well.
Proactive Approach: Demonstrated ability to anticipate needs and act independently with minimal supervision.
CRM Expertise: Experience with CRM systems and the ability to maintain and develop these systems effectively.
